Terms of service

Last updated 18 October 2026

These terms apply when a GP practice or other organisation (“you”) uses SurgeryScreen. Together with your quote or order, they form our agreement.

1. Who we are

SurgeryScreen is provided by SurgeryScreen (“we”, “us”).

You can contact us at [email protected].

2. The service

SurgeryScreen is a waiting-room screen service. For each screen you order, it includes:

  • a small player (a Raspberry Pi) that connects to your TV, and on the 4G plan a 4G modem and data SIM;
  • installation at your practice and face-to-face training for your team;
  • the SurgeryScreen software, hosting, updates and support for as long as your subscription lasts.

The TV, its mounting and its power supply are yours to provide.

3. Fees and payment

You pay a one-off fee for each screen, invoiced when it's installed, and a subscription for each screen: either yearly in advance at the discounted annual price, or monthly in advance. The prices are those in your quote. Invoices are due within 30 days. After the minimum term we may change our prices by giving you at least 60 days' notice, and you may end the agreement before the change takes effect.

4. How long it lasts

12-month minimum term, then month to month with one month's notice. To end the agreement, email us. When it ends, your screens stop showing your content and we delete your data within 30 days, as described in our data processing terms. Ask us before then if you want a copy of your slides.

5. The player and 4G

The player is yours once the one-off fee is paid. If it develops a fault within 12 months of installation through no fault of yours, we'll repair or replace it at no charge.

On the 4G plan, the SIM stays ours and may only be used in the SurgeryScreen player. Data is included for normal use, up to 5 GB per screen per month. If a screen regularly uses much more (usually because of long videos), we'll talk to you about options before anything changes. The SIM is deactivated when the agreement ends.

6. Your responsibilities

  • The content you put on your screens is yours: make sure it's accurate and lawful, and that you have the right to use any pictures.
  • Give sign-in access only to people who need it, and remove it when they leave.
  • Keep your screen addresses private: they are what let a screen show patient calls.
  • You decide whether to show patients' names on screen and what to show, and you're responsible for telling patients, for example in your practice privacy notice.
  • On the practice network plan, provide the internet connection and let the player reach the addresses we give you.

7. Patient calling is a convenience

Patient calling depends on the internet, the TV and the player all working. Don't rely on it as your only way to call patients, and never for anything urgent: keep another way to call them, such as from the waiting-room door.

8. Acceptable use

Don't use SurgeryScreen to show anything unlawful or offensive, try to get around its security or access other customers' data, or resell it. We may suspend access that breaks these rules, and will tell you why.

9. Availability and support

We work hard to keep SurgeryScreen running and fix problems quickly, but we can't promise it will never be interrupted. Screens keep playing your last published slides through short internet outages. We support you by email on working days, and we monitor screens so we can often spot problems before you do.

10. Your data

We process personal data for you as described in our data processing terms, which form part of these terms, and in our privacy notice.

11. Ownership

You keep all rights in your content. You allow us to store and display it only to provide the service. We keep all rights in SurgeryScreen, its templates and its video library, which you may use on your screens while your subscription lasts.

12. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn't allow to be limited. Otherwise, neither of us is liable for indirect or consequential losses, or for lost profits, and our total liability in any 12 months is limited to the fees you paid us in that period.

13. Changes and general

We may update these terms. If a change affects you materially we'll give you at least 30 days' notice. These terms are governed by the law of England and Wales, and its courts deal with any dispute.
